Privacy Policy
This policy explains what information the platform collects from rental operators and their customers, why it is collected, how it is protected and the choices available. It applies to this website and to the rental management service.
Two kinds of data
Operator data is information about rental businesses that sign up: account holder names, work emails, company details, staff users, vehicles, rates and billing information.
Renter data is information operators collect from their own customers through the service: names, contact details, driving licence and ID documents, signed agreements, deposits, pickup and return photos and trip data. For renter data, the operator decides what is collected and why. We process it on the operator's behalf and on their instructions.
What we collect on this website
- Details you enter in the sign up and contact forms, such as name, email, company, city, fleet size and vehicle types
- Basic technical data such as browser type and pages visited, used to keep the site working and secure
- A short-lived session cookie used only for the form verification question
How renter documents are handled
- Driving licence and ID documents are stored encrypted at rest and in transit
- Documents are visible only to operator staff roles that the operator authorises
- Documents are deleted after the retention period required by applicable law, or earlier if the operator sets a shorter period where permitted
- Renter data is never sold and is never used for advertising
Photos and AI Damage Check
Pickup and return photos are used to compare the condition of a vehicle and to produce suggested findings. Suggestions are reviewed by operator staff before they are shared with the renter. Photos are kept with the booking record for the operator's retention period so that disputes can be resolved.
Photos are not used to identify people. Staff are guided to photograph vehicles, not individuals.
Trip tracking
Location data is collected only during an active rental, only where the renter has agreed to it in the rental agreement, and it stops when the return is logged. Location history is visible only to authorised operator staff and is deleted on the operator's retention schedule.
Why we use data
- To provide the service, including bookings, KYC, agreements, deposits, tracking, damage checks and reports
- To send account emails such as login details, alerts and invoices
- To keep the service secure, prevent fraud and fix problems
- To meet legal, tax and regulatory obligations
Sharing
We share data only with service providers that help run the platform, such as hosting, email delivery, payment processing and messaging providers, under contracts that limit their use of the data. We may disclose data where required by law. We do not sell personal data.
Security
Access to production systems is limited to authorised personnel. Data is encrypted in transit and sensitive documents are encrypted at rest. Operator accounts support role-based access so staff see only what they need.
Your choices and rights
Operators can access, correct, export or delete their account data from the dashboard or by contacting us through the contact page. Renters should contact the rental operator they booked with, who controls their data. We will support operators in responding to such requests.
Changes to this policy
If this policy changes in a way that affects how data is used, operators will be told by email before the change applies.
